Anti Ragging Committee

Anti-Ragging Complaint / Reporting Form

Establishment of Online Grievance Redressal Mechanism

In line with the institution's commitment to ensure a fair, transparent, and responsive environment for all students, faculty, and staff, we are pleased to announce the establishment of an Online Grievance Redressal Mechanism.

Objective

The online grievance system is aimed at addressing concerns related to academic, administrative, or any other issues faced by students, faculty, and staff within the institution. This mechanism ensures a structured process for submitting, tracking, and resolving grievances in a timely manner.

Features of the Online Grievance Redressal System

  1. Ease of Access: The grievance submission portal is accessible via the institution’s website or directly at https://alwardaspolytechnic.edu.in/contact-us/
  2. Types of Grievances: The portal allows students, faculty, and staff to raise concerns related to:
    • Academic issues (e.g., course delivery, examinations, grading)
    • Administrative issues (e.g., attendance, facilities)
    • Personal safety and harassment concerns
    • Infrastructure and maintenance-related grievances
    • Any other grievances affecting institutional life
  3. Anonymity and Confidentiality: The system ensures confidentiality and offers the option to submit grievances anonymously, with no fear of retaliation.
  4. Tracking and Resolution: All grievances will be acknowledged within three working days and addressed according to the institutional grievance handling protocol. Regular updates will be provided through the portal, ensuring transparency.
  5. Response Time: Grievances will be reviewed and resolved within three working days, with a final decision communicated to the complainant.

Grievance Redressal Committee

Objectives

  • To provide an opportunity for students to freely express their grievance with utmost anonymity.
  • To set up a mechanism for speedy and expeditious resolution of grievances.
  • To provide appropriate counseling to students during the grievance resolution process.
  • To promote cordial relationships among students.

Functions of the Committee

  1. Conduct student counseling at regular intervals for healthy progress in professional guidance, career advancement, and all-round development.
  2. Conduct counseling for course-specific, laboratory-specific, and overall student development.
  3. Advise the principal on problems faced by students (e.g., ragging, examinations, transportation, canteen facilities) and report regularly to support smooth functioning.
  4. Ensure suggestion boxes are appropriately placed, complaints are filed, and documented properly.

Mode of Submitting the Grievance

An aggrieved student can submit their grievance through:

Grievance Mechanism

  1. Upon receiving a complaint, the college refers it to the Students Counselling, Mentoring & Grievance Redressal Committee with comments within 15 days.
  2. The Committee schedules a hearing and informs the aggrieved student.
  3. The student may appear in person or authorize a representative to present the case.
  4. The Committee reports with recommendations to the principal within 15 days.
  5. Any unresolved grievances are escalated to the Counseling, Mentoring & Grievance Redressal Committee, which reports to the principal and provides a copy to the student within 15 days.

Internal Assessment Related Grievances

  1. A three-tier mechanism resolves internal assessment grievances:
  2. Step 1: Bring the grievance to the concerned course teacher.
  3. Step 2: If unresolved, escalate to the Class Teacher/Mentor.
  4. Step 3: If still unresolved, refer to the Student Grievance Redressal Committee.
  5. The Committee aims to resolve grievances within 7 days, considering the student’s interests.

Consequences of Non-Compliance

Any contravention of regulations by the college invokes actions as per Regulation 10 of the UGC Regulations, 2019.

A Cell has been constituted with the following members in Alwardas Polytechnic, under the coordination of Mrs. S. Bharathi, HOD, BS&H. The committee is responsible for preparing documentation, procuring required data and certificates, and preparing a draft application for NBA accreditation.
